Pros & Cons from Real Users

Pros

  • As our business continues to grow, getting new employees up to speed as well as communicating changed to existing employees has been a challenge in the past. Our business is constantly changing, be it pricing, operating procedures, vendors, etc. Guru allows us one place for our team to go to find relevant, up to date info that was previously scattered throughout multiple channels, or inside the heads of the owners. With AI functionality in Guru our employees can ask common language questions and find relevant info quickly.
  • Lightning-Fast Answers: Guru's AI-powered search delivers rapid access to information, ensuring that I can find answers to my queries within seconds. This speed and efficiency save valuable time, allowing me to focus on important tasks. Intuitive Interface: Guru seamlessly integrates the functionalities of an intranet and a wiki into one powerful platform. Its user-friendly interface makes navigating through vast amounts of information a breeze, enhancing productivity and reducing frustration. Considerate of Time: By providing a centralized repository of knowledge, Guru eliminates the need to constantly interrupt colleagues with repetitive questions. This not only saves my time but also respects the time of others, fostering a culture of efficiency and collaboration. Comprehensive Knowledge Management: Guru's extensive database ensures that I have access to all relevant information, enabling me to get exactly what I need quickly. Whether it's company policies, project updates, or best practices, Guru has it all, streamlining decision-making and problem-solving processes. Security: With Guru's focus on enterprise-level security, I can trust that sensitive information is protected. Its robust security measures provide peace of mind, allowing me to utilize the platform confidently.
  • -Great AI-enabled, tech-driven intranet solution -Easy set up -Integrates seamlessly with Slack, Google Drive, etc -The Answers feature changes the dynamic of how end-users interact with the application from an intranet website/shared folder to an LLM with a curated knowledge base -High usability minimizes user training needs and drives adoption without the need for a complex implementation strategy -Sales lead becomes CSM, so no awkward handoff to a stranger and wasted time re-explaining your use case(s) -Pricing structure aligns value with cost, increases with user adoption -Verification functionality keeps the knowledge base accurate in an auditable manner and solves the issue of iteration control -Updating cards and connecting to files/folders in Drive is very easy
  • - Auto archive tool is incredibly useful for temporary changes such as A/B tests our various product teams run - Answers gives our support agents the info they need in the most efficient way possible - Announcements keep the team updated on our org's regular product enhancements
  • Gurus genius lies in its reliability - you can trust that the information you’re seeing is accurate and up to date via its various ownership and verification features. It also simplifies your teams workflow by offering up the information folks need where they need it. The collection and tagging features are also smart. I’ve not yet dug into their rapidly growing AI offerings but am excited to do so as I know more time savings are in store.

Cons

  • I wish I would've been using this years ago - its an instrumental part of our business now.
  • Learning Curve: While Guru's interface is intuitive, mastering its full capabilities may require some initial investment in learning. However, the platform offers ample resources and support to aid users in becoming proficient.
  • -Not the cheapest option, has per-seat-per-month pricing -Bulk import is great, but the formatting doesn't translate well from docx files, requiring time-consuming reformatting -Ability to track card use, but not at the user level
  • It would be great if Answers source documentation had the same update reminders as Guru cards do.
  • Guru was a bit behind in offering enterprise search but have quickly caught up - again, giving all teams the info they need whether native to Guru or housed elsewhere.

Pros & Cons from Real Users

Pros

  • Notion ended up replacing a bunch of different tools I was bouncing between for notes, tasks, project planning, and random ideas. Having everything in one place makes it way easier to stay organized, especially when work gets hectic. The thing I like most is how flexible it is. You can build pages however you want, create databases, track projects, save documentation, or just use it as a giant digital notebook. It feels like you can make it fit almost any workflow.
  • Notion is a very flexible platform that aims to be able to do almost anything as it relates to collaboration and managing the day to day activities of your team. We originally liked the fact that it offered this all in one approach and would help keep things centralized. It is also easy to use with drag and drop functionality the core to basically every aspect of the product.
  • Flexible workspace allows managing notes, tasks, docs & project. Intuitive editing & toggling with toggleable views.
  • Notion, a versatile all in one workspace, presents several advantages for users seeking a flexible & collaborative digital environment. Its block based structure offers a modular & customizable approach to content creation.
  • Notion is an incredibly flexible platform that integrates project management, documentation, note-taking, and collaboration functionalities into a single program. It supports use cases for both personal and professional use.

Cons

  • When you're first getting started, it can feel like a lot. There are so many options that it's easy to spend more time setting things up than actually using them. I've also noticed that larger pages can get a little slow sometimes.
  • For our team the flexibility ended up being a bit of a downfall. We ended up with so many different pages and areas of the app where people were adding or creating content or tasks. In the end we decided to pair it all back and now use Notion for SoPs and as a wiki only.
  • A very steep learning curve for complex workspaces & databases. Lacks advanced permissions for secure collaboration.
  • The abundance of features initially overwhelm a new user, People may need to take a basic training in order to explore full potential of Notion from start.
  • Although Notion provides offline access, its offline features are not as extensive as those of its online counterpart. When working offline, users might discover that some functionalities aren't available or that updates take longer to sync.

Pros & Cons from Real Users

Pros

  • You can have all of your documents in one area which makes it nice if a teammate is asking where to find something you can always refer back to one platform.
  • - UI and UX --> nice fonts and organization, easy to navigate even for people with a traditional mindset - Customer Support & Responsiveness --> easy to talk with the team no matter what role they are covering. That's an invaluable asset in a time where most of the people covering management roles think they are too important to be bothered.

Cons

  • To me, it is like Google Drive, but harder to navigate and use.
  • - iOS Mobile App not at the level of the web browser on desktop --> it makes sense to privilege desktop cause that's where you wanna do the most on your knowledge base, nonetheless it'd be a great plus to have a proper app with all functionalities.
