About

HeyOne is cloud software for forklift and industrial-equipment dealers, rental businesses, and service teams. It combines a product website and lead inbox with CRM workflows for customer inquiries, equipment configurations, quotes, approvals, orders, and payment schedules. Teams can link deliveries to individual machines and serial numbers, track hour-meter readings, record service history, monitor maintenance due by operating hours, and assign repairs as technician work orders. A customer portal gives each customer access to its fleet, quotes, and service records. The system brings website chat, forms, Facebook, Zalo, and hotline inquiries into a shared queue, and supports catalog pages for equipment models. Its AI assistant Mira can draft quotes, contacts, and notes for review, with ChatGPT and Claude connections through MCP. Data can be exported to Excel.

Pros & Cons from Real Users

Pros

  • Real-time availability across overlapping multi-day rentals is rock solid — I can have a tent booked Friday-Sunday and the system blocks those exact dates without me touching anything. Asset tracking handles 200+ individual items cleanly, from 4-person tents down to camp stoves and bear canisters. QR code check-in/check-out has noticeably sped up our counter on busy weekends. Dash AI's Morning Briefing pulls today's pickups, returns, overdue items, low stock, and the weather forecast into one screen and even drafts the next action — saves me 20-30 minutes every morning. Automated late-return reminders ended the awkward "where's my tent?" phone calls almost entirely.
  • Our business goes from zero to 300+ rentals a day once ski season hits, and EquipDash handles the volume without breaking a sweat. The online pre-booking has cut our morning wait times in half — guests fill out their sizing info ahead of time and we have their gear pulled before they walk in. The inventory tracking is critical for us because we need to know exactly which skis are out, which came back damaged, and which are due for a tune. The maintenance scheduling feature means nothing slips through the cracks. We also love the seasonal planning tools since we can adjust pricing and availability for peak weeks vs. shoulder season in minutes.
  • We're a hybrid business — part tour operator, part rental shop — and EquipDash is one of the only platforms that handles both sides without forcing us into two separate systems. Our guides can see their tour roster on the mobile app, and our front desk can rent out bikes for the day from the same dashboard. The guest manifests are a huge time-saver. We also connected it to our Stripe account and the payment processing just works. The booking widget on our site matches our brand and the conversion rate has been noticeably better than our old form-based booking.

Cons

  • The booking model leans toward time-slot rentals (hourly/half-day/full-day) rather than true date-range multi-day rentals — works fine but took some creative setup. No customer-facing kit builder either, so I have to pre-build every bundle (tent + bag + stove) myself rather than letting renters mix and match.
  • The reporting is solid but I wish I could build more custom date-range comparisons — like this December vs. last December side by side. I end up exporting to a spreadsheet for that kind of analysis. Also the system doesn't have a native way to handle our lodge delivery service, so we use a workaround with booking notes, which works fine but isn't ideal.
  • We run self-guided tours where we hand over a GPS device and a printed route — EquipDash doesn't really have a concept of "self-guided" as a tour type, so we set it up as a rental bundle instead. Works fine but feels like a workaround. Also, we'd love tighter integration with Google Reviews so we could automatically prompt guests to leave a review after their tour.
