Overview
Gmail is Google's web-based email platform that gives you easy, free access to send, receive, and organize messages. It mirrors many of the capabilities found in its mobile apps, which usually come preinstalled on most devices. The service is free to use and supports additional features such as multiple account handling, attachment saving, and compatibility with other mail systems.
Core capabilities
Gmail not only provides fast access to your inbox but also delivers instant notifications for new messages. It can store attachments locally or to Google Drive, and it supports external accounts via IMAP or POP—so you can bring in mail from Yahoo, Outlook/Exchange, and other manually configured accounts. The mobile app uses a familiar layout similar to the desktop interface, highlighting unread messages and offering easy navigation through labels and categories.
Managing individual messages
From any message you open, you can perform a variety of tasks, for example:
- Reply to or forward the message to other recipients.
- Flag the message as phishing and report it to Google.
- Mark the email as spam.
- Print the email if you need a hard copy.
- Mute the conversation so you won’t receive further notifications for it.
- Mark it as unimportant or move it out of priority views.
- Assign or change labels to organize it.
- Move the message to a different folder or archive it.
In group threads you’ll often see avatars or images next to each participant’s name when available. You can add multiple Gmail accounts to the app and switch between them quickly, or add external IMAP accounts for a consolidated inbox.
Video calls and meetings
Gmail includes an integrated Meet experience so you don’t always need a separate app to join video calls. When someone sends a Meet link, you can enter the meeting directly from your inbox. The mobile app also provides a dedicated tab for Meet where you can start, join, or schedule meetings that appear in Google Calendar.
Note that free accounts are subject to time and participant limits (for example, meeting length and attendee caps). Still, you keep access to useful features like screen sharing, live captions, and gallery-style layouts. Unlike some competitors, you must be signed into your Google account to begin or join a meeting.
Drafting help and AI tools
Google is rolling out an AI writing assistant called Help me write that will be available in both Gmail and Google Docs. This tool expands the existing Smart Prompts capability—predicting and completing text based on your writing patterns—by offering full draft generation and revision suggestions from minimal input.
The feature appears as a button near the send or formatting controls. When activated, a panel opens to create a draft, propose alternative phrasings, manage templates, and improve tone and clarity. The goal is to save time, boost consistency, and help you polish professional-looking messages.
Why many people prefer Gmail
Gmail is widely chosen for several practical reasons:
- Seamless integration with Google Workspace apps and services.
- A polished, intuitive user interface across desktop and mobile.
- Large storage allowances for mail and attachments.
- Effective search and label-based organization tools.
- Strong reliability and industry-standard security features.
- Regular updates that introduce new features and improvements.
- A mobile client that provides parity with the web experience.
- Broad compatibility with third-party apps and third-party mail providers.
Preferences will vary depending on individual needs, but these strengths explain why Gmail remains a common default email solution.
Final thoughts
While no single email service fits everyone perfectly, Gmail offers a compelling mix of speed, features, and ecosystem integration. With built-in meeting support and emerging AI drafting tools, it covers most personal and business email needs without requiring separate apps for basic communication and collaboration.
