BookStack is a simple, self-hosted, easy-to-use platform for organizing and storing information. BookStack is fully free and open, MIT licensed. The source is available on GitHub. There is no cost to downloading and installing your own instance of bookstack. Simplicity has been the top priority when building BookStack. The content in BookStack is fully searchable. You are able to search at book level or across all books, chapters & pages. The ability to link directly to any paragraph allows you to keep your documentation connected. Configuration options allow you to set-up BookStack to suit your use case. You can change the name, Logo and registration options. You can also change whether the whole system is publicly viewable or not. BookStack is built using PHP, on top of the Laravel framework and it uses MySQL to store data. Performance has been kept in mind and BookStack can run happily on a $5 Digital Ocean VPS.

Pros & Cons from Real Users

Pros

  • I like how flexible Notion is. I can keep project notes, tasks, documentation, and other information in one place. The ability to customize pages and databases also makes it easy to adapt Notion to different workflows.
  • Notion ended up replacing a bunch of different tools I was bouncing between for notes, tasks, project planning, and random ideas. Having everything in one place makes it way easier to stay organized, especially when work gets hectic. The thing I like most is how flexible it is. You can build pages however you want, create databases, track projects, save documentation, or just use it as a giant digital notebook. It feels like you can make it fit almost any workflow.
  • Notion is a very flexible platform that aims to be able to do almost anything as it relates to collaboration and managing the day to day activities of your team. We originally liked the fact that it offered this all in one approach and would help keep things centralized. It is also easy to use with drag and drop functionality the core to basically every aspect of the product.
  • Flexible workspace allows managing notes, tasks, docs & project. Intuitive editing & toggling with toggleable views.
  • Notion, a versatile all in one workspace, presents several advantages for users seeking a flexible & collaborative digital environment. Its block based structure offers a modular & customizable approach to content creation.

Cons

  • The learning curve can be a little steep at first, especially when working with databases, relations, and more advanced features.
  • When you're first getting started, it can feel like a lot. There are so many options that it's easy to spend more time setting things up than actually using them. I've also noticed that larger pages can get a little slow sometimes.
  • For our team the flexibility ended up being a bit of a downfall. We ended up with so many different pages and areas of the app where people were adding or creating content or tasks. In the end we decided to pair it all back and now use Notion for SoPs and as a wiki only.
  • A very steep learning curve for complex workspaces & databases. Lacks advanced permissions for secure collaboration.
  • The abundance of features initially overwhelm a new user, People may need to take a basic training in order to explore full potential of Notion from start.
