"From a rescue mission perspective " Posted 2023-06-16
Pros: Reporting is our favorite feature of Casebook. With the support of their team, we have been able to create a report to pull any information we need that has been put into the data database. We can look at data in multiple different views, combine datasets and easily look at both duplicated and unduplicated data. There is one report that is more clunky to run which I will detail in the cons.
Overall, for our program, outreach and family shelter side of services, Casebook works great. We can track and report on class attendance, number of bed nights, days of sobriety, and incorporate information that aids us with HMIS (Homeless Management Information System) data entry. We are easily able to add our own fields that our mission tracks specifically. Case notes and group notes are very quick and easy to complete, which is great for case management and reporting.
We have a mobile outreach team that has been using service notes to track interaction with clients living in the streets and it has been a seamless transition to implement and makes reporting on these interactions nearly effortless.
Our staff in these 3 departments have shared positive remarks about Casebook. The Casebook team itself has worked diligently to help us solve problems, has been response to issues with the software and has been a joy to work with.
It is easy to recommend Casebook for the purpose of tracking outreach interactions or clients with a more consistent pattern of staying overnight in a recovery program or family shelter.Cons: Using Casebook effectively with our Adult Shelter has been the most challenging. We have a few options to track bed nights, but each solution comes with it’s own challenges. Adult Shelter is very dynamic with who will be staying each night and therefore takes a lot more data entry and auditing than Outreach, Family Shelter, and Program.
One of the largest challenges we have is being able to view how many bed nights we had in a given month with the number of individuals served on a given night or month. The Casebook team helped to develop a formula to track this, but to adjust the date range we need to see, it requires admin level editing access to reports, which we can’t give to every individual who needs this information because of how much technical knowledge of reporting is required and how easy it is to break a report in editing mode.
A possible trade off would be tracking this information using daily “notes” rather than service enrollments over time, but we lose the functionality of viewing a “reason for ending service” regarding the bed night. In either case, we are losing the ability to easily track bed nights in a readily viewable way, or the vital need to know why a client isn’t currently staying with us in the Adult Shelter from a data perspective.
Casebook is currently working with us on this, but it is hard to recommend the software for night-by-night shelter until there is a solution the more readily meets our needs for night-by-night shelter.
The challenges in this section of the review are what brings down the score I gave to ease and features.Overall: Casebook has is working diligently to accommodate the needs of our organization. It is pleasant to work with the team, they care about making sure we have what we need to both serve our clients and report accurately to the parties that need information on the impact we are making. It was the right choice to move forward with Casebook; we just aren’t where we need to be yet with the software. I do not see us seeking another solution so long as they continue to work with us to optimize the software as they have until this point.

Further, the sale team was very transparent with us about what the software can and cannot do, we knew what we were walking into when we signed on for the software and the work that was ahead of us for both our team and theirs. -

Pros: The Pros for me are the ease of set up, deciding how to structure for our Agency needs, entering and deleting client information, and making case notes accessible to other disciplinary departments. They can view and/or add to client's file. Casebook sends you emails about support and products.
Cons: As of this time I see know issues with Casebook. If any should arise I will contact customer service via email or phone.
Overall: Casebook makes it easier to document each client's file instead of handwriting every detail. Plus you can upload any paper documents to your clients file.

Pros: They listen when I make suggestions to improve their product to make my and my coworker's lives easier.
The reporting system is built in and easy to navigate as well.
They worked with us every step of the way until we were truly comfortable working on our own. But if something comes up I know I can send and email and get help quickly.Cons: All of these cons are for right now. I know when I make suggestions they listen and actively work to make them happen.
They need to add a way to follow up on a case if it is active but has not been updated in a specific time frame. Cannot add old employees that had been on cases from before using the product because of user limits even though they are not users.Overall: Overall, I am very impressed with Casebook. Their employees are responsive, helpful and pleasant to work with. They have been very helpful anytime we had an issue come up or we were confused about something.

Pros: Customer service was a plus. Friendly and generally responsive. They are making new additions to the platform.
Cons: We pursued this product because we were looking for a platform with easy client upload and the ability to organize client files. This did not happen. We actually felt like we duplicated our workload- by having to organize documents in a manner worse than simple google doc approach. We wasted thousands on a product we don't use. For their monthly fee, (after their setup) you can easily sign up with a larger more competent program such as CLIO or other legal or social work options.
Overall: It was not a good fit for us. Perhaps others have found it useful. We on boarded early in their development and were promised features that simply did not happen.

Pros: Casebook is user friendly and simple to use for every level of our team. The ease of use combined with our team's customization makes client management a breeze.
Cons: While there are a few sections in casebook that make it a little more difficult to use for our purposes, they are relatively small in the grand scheme of client management software. A few things that would be helpful adjustments are - an easily visible notes section on a person and case notes that allow for service tracking
Overall: Our overall experience has been positive...Casebook has been helpful in finding the best ways to make the software work for our team!

"Great Product and Great Customer Service!" Posted 2021-02-10
Pros: This product has been very helpful in streamlining our process for tracking where a family is in the certification process. We partner with DCFS, so we're not the licensing agency for families, but being able to better monitor where they are in the process has been a big win for us. It's also great that the Casebook team is adding new features and has met with us regularly to talk through ways to improve the product.
Cons: The process for adding new applicants/having them complete online forms and registration needs work.
Overall: Overall, using Casebook has been a great experience, and it's met a number of needs for us in an economical way.
