We have been using allocpsa for 6 months now, and are very impressed with the
software overall, thx!
We are having a problem with our timesheets to invoice - when we create an
invoice, and choose to add item from timesheet, the system only pulls the
timesheet title, and not the line items with their recorded times. This
feature has worked in the past, and I think maybe it has something to do with
the approval workflow, but given the complexity of options, I can't seem to
resolve by trying different approaches (like changing the approval status,
marking tasks with related time complete. Can someone in the know pass along a
brief step by step proper approach to the workflow so that we can follow the
process through properly?
Example of what we do:
Create client, project, task(s) and assign people
Add timesheet (more than one person will create a sheet in many cases)
Add time and notes to task
Submit timesheet
Mark task complete
Admin reviews and approves timesheet
Create invoice for client/project/task
Choose Add item from timesheet button
Select appropriate timesheet (usually only 1 choice)
The system then pulls the timesheet summary, and enters a line item, but this
includes just 1 hr regardless of items, and does not pull item descriptions...
Any ideas?
TIA,
Keith Waldron

Thanks Con - well we are still going with AllocPSA - it does so many things so
well, and so intuitively - I wish that it had more users to build momentum -
it certainly is one of the better conceived systems I have used - given the
compromise between doing alot, but maintaining simplicity. We have used copy,
paste, then cleanup to manually use our timesheet items to enter our invoice
items in Quickbooks - but it would be so nice if we could use the invoice
feature with the timesheet line items, including time, date, note - per row...
Have you made any progress on this front?
Thanks in advance, and also continued thanks for building and keeping this
alive.

Thanks for the kind words. I too wish we had a greater user base. If you
wanted to pass your recommendations on to others we certainly wouldn't object
:-) (especially if it results in some traffic to allocpsa.com!)
Now because you were so nice :-) and because the feature that you've requested
appears to be very useful, I've added it to the invoices module. So when you
are creating invoice line items from a time sheet, you can optionally select
to use that time sheet's line items on the invoice. So if the time sheet has 5
line items, then the invoice will get 5 items added to it.
This feature will be included in allocPSA 1.8.5. Which won't be long now.
Kind regards,
Alex Lance

Hello Keith,
we are investigating this as a bug.
