Zoom for Outlook is a free add-in that lets you include Zoom meeting details directly in events on your Microsoft Outlook calendar. It requires a Zoom account (basic or paid) and connects the Zoom Scheduler into Outlook so meeting links, dial-in info, and join controls appear on calendar items.

Account requirements and meeting length limits

• Paid Zoom licenses remove time caps, allowing unlimited duration for one-on-one and group meetings.
• A free (Basic) Zoom account works with the add-in, but group meetings are limited to 40 minutes.
• You must have an account at zoom.us to use the integration.

Core capabilities of the add-in

• A Join button is added to calendar entries so participants can enter meetings directly from Outlook; it opens the Zoom app if installed or launches the web flow in a browser.
• Supports high-quality video, audio, and screen sharing, along with gallery view that can display up to 49 video streams simultaneously.
• Annotation tools and shared controls (audio, mouse, keyboard) allow more interactive collaboration during meetings.
• The Scheduler automatically appends the meeting URL and other relevant details to new or existing Outlook events after you configure your preferences.

How joining and setup work

• Once installed and linked to your Zoom account, the add-in inserts meeting details into calendar events when you schedule or edit them.
• Clicking the calendar’s Join control launches the meeting: it will use the Zoom desktop client if present, otherwise it will guide you through joining via the browser.
