Users

The Users & Access Management section, in the Settings menu, allows you to define and customize the users of the system. Users can log into their accounts, access information, and perform tasks according to permissions that have been defined to them. Usually they are employees in your company.
Through Users, Roles, Profiles, Sharing Access, Advanced Sharing Access and Groups you can decide which users can access specific areas. We recommend to begin defining the users only after being familiar with the system, and when you have decided which processes you want to manage.
For this reason there is a single Administrator user, the only user allowed to access to all the features. Is also recommended to set a range of very defined users.
You can keep under control the usage with the possibility to see who did what. Through Audit Trails you see what is doing a certain user, and maybe modify later its privileges.


** Overview **

There are two types of users:

  1. Standard user
  2. Administrator user

The standard user has a limited access to the system and can’t access to Settings menu. The administrator user manages all the system data and features:

  • users, groups and their privilege access
  • customize the users interface
  • create communication archives
  • change passwords, disable users and view the login history
  • manage CRUD operations for the data (CRUD operations are data reading, creation/modification, cancellation)

** How to create a new user? **

Follow these steps:

  1. Access to Setting > Users
  2. Click on + icon in the menu
  3. In the User Name field, provide desired user name
  4. Enable the Admin check-box if you want grant admin privileges
  5. Provide an appropriate password and confirm it (after logging in, users can change their corresponding passwords)
  6. Set the Email field with user's unique email address that hasn't been used before
  7. In the Status field, select Active to have the users log in and access their accounts; select Inactive to restrict users from accessing their accounts
  8. Set the Role field
  9. After filling up the other fields, like First Name and Last Name, click Save

** How to delete a user? **

Note: When you delete one user, the system asks you to assign his data to an another, that you have to select. It’s not possible to delete the admin user, which is a default user.
