Hello I had posted this in the message board on the site about 3 weeks ago and no response; not sure if this is more active or not. So I will ask here: I have a number of items that when I entered into sql ledger, I picked the wrong income account. When going back to editing these items, I do not see all of my income accounts even though I know they exist. I know this because I see them in the Chart of Accounts and when I add a new item I get the full list. Is this a bug or is it like that for a reason? I can simply delete and re-add the item with the correct income account but I am wondering if this will affect any reports or previous invoices I made with that item. I would be keeping everything exactly alike except the income account. Would this be ok? So bug or is it like that for a reason? Thanks JP |

Check again, you shouldn't be able to delete an item you've sold. Once you have sold an item you will not be able to change the account it is attached to either, it sort of becomes written in stone. If you want to change the account you must delete all invoices that used/sold that item, then change the account or delete the item and then re-enter all the invoices. Yes I started trying to remove just one time and yes as you say it is not possible. I understand because of the reporting. I have not done many invoices with the products so I assume it would be better to do this sooner than later before it really becomes a hassle to do. Are you certain if I replace all of the old invoices and ap's with the new items in the correct accounts that I will be able to delete them? I do not wish to have page full of obsolete items for now if not necessary and if they are really not being used even in reports after I switch them over. Thanks for the response. Hi You need to have the authority to actually delete an invoice, you can't just reverse it. Can you view an old, posted invoice and delete it? Jeff J.P. Since I am the only user I have enabled this feature. However I would not recommend it for multi-user environment with unknown users accessing the data. Just for the sake of innovative accounting if you get my drift I would not trust others to delete random old invoices or edit them. I agree, I am the only user of my system as well. I would make a list of all of the invoices that this item was used on. Print a copy of each of these invoices. Delete each of these invoices Once all transactions relating to this item are deleted you should be able to edit it and change the account. I am guessing it would be possible to delete those transactions and then when adding them again to use the same invoice #'s and such to maintain everything as much in place as possible? I assume I would just put in the manual invoice number instead of an automatically generated one? If so would it let me use one that was already in use (deleted already)? Yes you can just manually put the same invoice numbers in and it will accept them. I've done this before many times. Jeff J.P. To answer your other question, only income accounts that are defined as such AND have the 'show in browser' tag checked will show up. TIP: open new window or two, and check account details for one income account that shows up and another for one that does not. It is a way to change the income account for certain goods (COGS). I am not sure it will change previous sales as well, I rather think not. Here is how the whole thing works: 1. You can edit the account links only if there is no transaction referencing this part. 2. If you use the 'Change up' menu, you can edit the accounts links. However a new part with same part number is created with you save. This might add to the confusion because now there are two parts with same number. 3. You can mark a part obsolete and it will not appear in parts lookups during transaction entry. To mark a part obsolete, its onhand should be zero. You can add a new part again with same part number but with different account links. You can correct the account postings for past transactions for that part using a GL transaction. The 3rd point seems the best way to change any account inaccuracies without mucking around with existing transactions. Hope this helps. Let me know if I am not clear. On our sql-ledger hosting, we can allow the user to change the account links any time he or she likes to. There is a reposting script which, when run, corrects all past transactions. Did you have anybody with basic book keeping skils look at your files? Current earnings would be the difference between expenses and income for any given period. Also known as result. Now if my result was off by 50k, personally I would start to wonder what is going on. Basic sanity check: 1) Do you have more or less than expected? 2) If less, would it be possible somebody is doing something with funds that is not entirely the way it should be? (Also known as fraud). 3) Wild guess: did you do any year-end processing at all? If not, all results from day one till now would be seen as current earnings. At year end, it is a good habit to add any profits to the available reserves (equity) and start over for the new year. Yes, we have someone with basic book keeping skills. No we have not found anything to suggest why it keeps occurring every year for the same amount. What we do know is that this amount has been off since 2004 maybe 2003. Its an error that occurred many years ago. 1. Current Earnings is 50k, more than expected. 2. We do not suspect fraud. 3. We have done several year end closes. 2002 was off my 17k, 2003 was off by I think 53k, and its been the same number every year. I'm not concerned so much why we are off by 53k, we believe its an error that was created in the system during one of the version upgrades. I want to make Current Earnings match our Income Statement (As in, if I the only way to do it, is to manipulate the database, then tell me how, and I'll do it) thoughts on how to fix it? I do not think updating can have caused this kind of anomalies in the accounts. Been using this package for years and never found anything to that effect. Two more ideas: 1) if you use reports with headers inbetween (you can see by different colors and subtotals) in your General Ledger scheme: remove those and rerun report. That might do the trick, especially since you say that the accounts are actually balanced. 2) If the COGS in the opening balance (when you started using SQL-Ledger) is not entered correctly, the opening stock will be sold with a sales price of x, and a COGS of ZERO. That might explain te extra income. Hope you did not have to pay tax on that, since it is not actual income, just a bookkeeping error! As a last resort, if you want to you can do a backup to file and personal mail me the zip. I can then restore over here local and have a look if I can find anything from the accounting point of view. Hi Jeff, I've seen (reconciliation?) balances that remain affected by phantom transactions --transactions that were deleted but some aspect of the transaction remains hidden in the system. I'm not sure of the cause, because there were numerous people entering and reconciling data in multiple databases. From what I recall, the problem is associated with transactions that have been at least partially reconciled against one or more of the accounts associated with it prior to the transaction being deleted. Fixing has been arduous: 1. making a backup of the database 2. tracking down and deleting the transaction detail in the database tables that are associated with the error. Identifying the offending transaction can be tricky. I would verify the balance on the account from beginning of the account and note the month (or approximate date) where the balance is not accurately reflecting balance of shown transactions. Then I would examine the transaction detail for every transaction with at least a date in that time frame, looking for inconsistencies with associated transaction dates or transactions that show up in the database but not through the web. Try repairing any problem first by using the web-based UI. If unsuccessful, then you may have found the culprit! If so, carefully go through the various tables noting and removing the fragments of the transaction. Be sure to check the data returned from DELETE criteria (where...) by using a Select before deleting, or you might accidentally remove a portion of a transaction that was previously okay (thereby compounding the problem). 3. verify the balance accurately reflects transactions shown 4. regenerate the removed transaction (if need be) 5. regenerate any year end GL transactions that occurred after the transaction Wouldn't it be nice to have an AUDIT button that identified transaction inconsistencies in the DB? A few questions: Is your trial balance in balance? You say that your income is out of whack- is the balance sheet out of whack? Normaly two accounts would be off as debits equals credits. For what it's worth we've had several problems with the summary reports completely missing accounts resulting in totally incorrect values. The actual account balances are correct though so we gave up trying to figure out why the summaries were off and just do our own reports based on that. In all fairness even though we had a support contract with Dieter we never bothered to ask him, so there could have been a simple answer - might be worth it!
