We are a company that is looking for a reference tool to store our data with en set up a database with all digital files, so no links to physical books, magazines. The function will be to organize the data for ourselves but also to become available for interessed people online who can download each attached file (pdf, word). We want to customize some of the data per publication. Is it possible to modify the number and titles of the different fields to the needs of the user? So is it possible to delete for example the field 'Volume' and add a new field with 'Country'.

While its is theoretically possible to add new fields to the refbase database, this would currently require quite a bit of editing (at various places in the code). Therefore, it's generally a better idea to repurpose existing fields wherever possible.
Fields can be renamed quite easily in the interface (see the string files for your desired language & encoding in the 'locales' directory).
If you describe in more detail what parts of the interface you'd like to change (and how), we may be able to give you more detailed advice.

As outlined above, it might be more feasible to simply repurpose the "Volume" field and rename it to "Country" in the interface.
However, depending on the particular refbase field and the requirements of your new field data, this may cause problems for citation formatting or other parts of functionality. This is since refbase obviously assumes, say, the 'volume' field to contain volume information for the record, etc.
