Duplicating Files

Hello Jason, and thank you very much for Hypernomicon! One thing I was wondering if there is any way to avoid duplicating files when using the program. For instance, I am using Dropbox to use the papers that I work with. When I create a file for a database and then insert papers into the database, I note that the program copies the paper file into the "papers" folder, which results in files being duplicated on dropbox. Given that storage space is always limited, I was wondering whether there is any way to avoid that, by say linking the paper to the original folder where it is stored.

Hi Anton, why not just keep your Hypernomicon database/folders in a subfolder of Dropbox? That's what I do. As long as Hypernomicon is not running, it's perfectly safe to move your database to a different folder. That way, I only have one copy of PDFs; they are in the Hypernomicon folder and on Dropbox at the same time.

Thanks, Jason! In fact, I have placed my Hypernomicon folder in a subfolder of Dropbox. My current problem is that my PDFs on Dropbox are organized by different topical folders together with .doc files, spreadsheets, etc. So I wouldn't be able to move all of my PDFs on Dropbox to the "papers" subfolder of Hypernomicon without destroying that preexisting structure. So I was just wondering whether there is any way to link papers to the other folders on dropbox where they are stored. I guess for the future PDFs I can just put them in the Hypernomicon's "papers" subfolder, as you suggest.

Hi Anton, if it is very important for you to keep your existing folder structure, then what you could do is move your existing topical folder tree into a subfolder of the Topical folder of the database. Then, when you import a PDF file to a work record, you would have the option of leaving it in the same place, and you could just leave the Papers and Books folders empty if you won't use them. You will be able to keep track of which files are attached to database records from the File Manager window. You would also be able to create Note records that are attached to some your existing topical folders (if that might be helpful). I am in the process of finishing up a video that will demonstrate the File Manager functionality; hopefully it will be up sometime today.

Oh that's great! Thanks very much, Jason! I will try that. And I will look forward to the video to explore the functionality of the File Manager.

And after this discussion I will add an option to "Make this option the default" when it asks you whether to move, copy, or leave files in the same place when importing in version 1.14; otherwise it would be tedious for someone in your situation (which I doubt is all that uncommon) having to remember to change that setting everytime you import.

Yes, that would be handy to have that setting changed. I just tried creating a new subfolder in the Hypernomicon folder where I could keep my preexisting structure. However when I tried adding a new work to the database, it moved the PDF to the "papers" subfolder automatically, without actually asking me.

That's right, right now if you are importing a PDF that is currently not in the database folder tree, there is no option to change which folder it will go into (I think I will change that as well). That's why my suggestion is for you to go ahead and just move the existing folder(s), including the PDFs and other files, under the database Topical folder first. Then, when you import, the option to "Use current location" will be enabled.

Got you! Thank you! I will try that.
