Tim Wahls

Within the edit/delete tab, administrative users can update base data about their farm.

Crop

Crop Unit

This tab displays a table of all harvest units for each crop. For any unit that is not the default unit for a crop, an administrative user can:

  • delete the unit by clicking the "Delete" button
  • update the conversion factor from the unit to the default unit by editing the conversion factor and clicking "Update"

Crop

To edit or delete a crop:

  • select the crop
  • enter a new name for the crop if desired
  • if the invoice tab has been selected:

    • select a new invoice unit if desired
    • edit the units per case for invoices if desired
  • to "delete" the crop, select "No" for the Active Status. (The crop will remain in the database, but will not be available for seeding, harvest and so on.)

  • click "Submit"

Equipment

Tray Size

To delete a tray size:

  • select the tray size that you want to delete
  • click "Submit"

If the selected tray size is used in any tray seeding records, you will see an error message and the tray size will not be deleted. If you wish, edit or delete those records (Seed->Tray Seeding->Report) and then try deleting the tray size again.

Tractor (optional tab)

To "delete" a tractor:

  • select the tractor name
  • click "Submit"

The tractor will remain in the database, but will not be available for tillage and cover crop seeding and incorporation.

Material (optional tab)

Dry Fertilizer (optional tab)

To edit or delete a dry fertilizer material:

  • select the fertilizer to be edited

  • click "Submit"

Liquid Fertilizer (optional tab)

To edit or delete a liquid fertilizer material:

  • select the fertilizer to be edited
  • enter a new name for the fertilizer if desired

  • edit any other data for that material as desired
  • to "delete" the material, select "Inactive". (The material will remain in the database, but will not be available for spraying.)
  • click "Submit"

Sales (optional tab)

Product

To edit or delete a product:

  • select the product
  • enter a new name for the product if desired
  • enter a new unit for the product if desired. Note that quantities of the product in invoice, packing and distribution records will not be changed if the unit is changed, so any units conversions in those records must be done manually.
  • enter a new invoice unit for the product if desired
  • enter a new number of units per case if desired
  • to "delete" the product, change the "Active Status" to "No". (The product will remain in the database, but will not be available for invoice, packing and distribution records.)

  • to "delete" the sales target, select "Inactive". (The target will remain in the database, but will not be available for harvest lists, invoices, packing or distribution records.)
  • click "Submit"

Target Email

To delete a target email address (invoice recipient), click the "Delete" button next to that address.

Farm Email

To delete a farm email address (invoice recipient for all invoices for the farm), click the "Delete" button next to that address.

Other

Field

To edit or delete a field:

  • select the field
  • modify any aspect of the field that needs to be updated. The recommended approach is to enter the length and size in acres and let FARMDATA calculate the number of beds.
  • for small "fields" such as greenhouses and hoophouses, it may be more convenient to enter the average width and let FARMDATA calculate the size from the length and width. Subtract the width of aisles/walkways from the width of the "field".
  • to "delete" the field, select "No" for the Active Status. (The field will remain in the database, but will not be available for seeding, harvest and so on.) An administrative user can later "undelete" the field by editing it again and changing its Active Status to "Yes".
  • click "Submit"

User

To edit or delete a user:

  • select the user (by username)
  • if you wish to change the user's password, click the "Reset Password" button and then enter the new password twice in the resulting boxes
  • modify whether or not the user is a FARMDATA administrator by selecting "Yes" or "No" for Admin. In general, only users who are involved in sales functions (packing, invoicing) or who would have the authority to create harvest lists, add new crops and so on should be administrators. In other words, a FARMDATA user should not be an administrator unless they need to use Admin functionality.
  • if you use this tab to reset your own password, be careful to select "Yes" for Admin, as the default is "No" even for users who are administrators.
  • modify whether or not the user is active by selecting "Yes" or "No" for Active. If you select "No", the user will no longer be able to log in to FARMDATA.
  • click "Submit"

Labor Task (optional tab)

To delete a labor task:

  • select the labor task that you want to delete
  • click "Submit"

If the selected labor task is used in any labor records, you will see an error message and the labor task will not be deleted. If you wish, edit or delete those records (Labor->Labor Report) and then try deleting the labor task again.

Compost Pile (optional tab)

To edit or delete a compost pile:

  • click the "Edit" button next to the record for that pile
  • modify any aspect of the record as desired
  • to "delete" the pile, select "No" next to "Active". (The pile will remain in the database, but will not be available for compost accumulation, activities, temperature readings and application.)
  • click "Update Record"

Cover Crop (optional tab)

To edit or delete a cover crop:

  • select the crop
  • enter a new name for the crop if desired
  • update the seeding rates as desired
  • update whether the crop is a legume if desired
  • to "delete" the crop, select "No" for the Active Status. (The crop will remain in the database, but will not be available for seeding.)
  • click "Submit"
